In short

In June 2026, Castelein AV, the team behind First Impact, produced ITP Aero’s hybrid All Hands at its plant in Querétaro, Mexico: 125 employees in the room and more than 1,500 on one Microsoft Teams session across Spain, Mexico, the United Kingdom and India, run under the plant’s aeronautical safety protocols.

Overview

ITP Aero manufactures propulsion systems for commercial and military aircraft. Its annual All Hands put eight members of the executive team on stage, addressing more than 1,500 employees in Spain, Mexico, the United Kingdom and India through one Microsoft Teams session, while 125 colleagues attended in the room.

The challenge

The production had to deliver a clear program in the room and a clean feed to Teams, with remote participants visible and cut-ready, while working on a plant floor governed by aeronautical-grade safety protocols.

No on-site carpentry was permitted, every cable run and rigging position had to be pre-approved, and the eight executive presentations had to run without interruption.

Agreed scope

  • One program for 125 people in the room and more than 1,500 remote participants
  • Microsoft Teams integrated as a routable production source
  • Continuity across eight executive presentations, with backup at critical handover points
  • Load-in, operation and strike under ITP Aero’s safety standards
  • One team responsible for AV, staging, streaming and furnishings

Technical workflow

Signal hub

Presentations, cameras, the Teams feed and graphics were routed through a Barco S3 + EC-30, with independent control of each output.

Teams as a production source

A dedicated path sent the event program into Teams; a separate return brought remote participants into the switcher and onto the LED wall.

Robotic cameras

Three PTZ cameras controlled from a Roland V-60HD covered the stage without operators in restricted zones.

Graphics layer

Resolume Arena ran branding, countdowns, lower thirds and playback on four outputs, separate from camera and Teams feeds.

Modular stage

A 7.50 × 2.50 m modular platform was deployed without on-site assembly or power tools.

Preparation and testing

Safety requirements shaped the preparation more than any equipment choice.

  • Every load-in step, cable run and rigging position approved by the facility in advance
  • Presentation switchover between two laptops tested before the event
  • Primary and backup systems planned at critical handover points

Equipment by function

Only equipment verified in the project documentation, grouped by the job it did.

Operational challenges and response

Restricted zones on the plant floor.

Robotic cameras replaced floor operators where people could not stand.

No carpentry or power tools allowed.

A modular stage platform was used instead of a built set.

Remote participants in four countries.

Teams participants were routed into the program and shown on the main LED wall, not isolated in a side channel.

Confirmed outcomes

  • More than 1,500 employees in Spain, Mexico, the United Kingdom and India joined through a single Teams session.
  • 125 people in the room followed the program on a 7 × 3 m LED wall and four 75-inch screens.
  • All eight executive presentations ran without audio or video interruption, according to the published case.
  • Load-in, operation and strike were completed within ITP Aero’s safety protocols, with no reported compliance issues.
  • One team was responsible for AV, staging, streaming and furnishings.

Outcomes as documented in the published case. We do not add figures the project did not record.

Protections, and what each covered

  • Presentation continuity: two laptops in the presentation chain with a tested switchover path.
  • Recording: the program was recorded on a Blackmagic HyperDeck, independent of the Teams session.

The lesson

On an industrial site, safety planning is part of the production design, not an afterthought.

Questions this project answers

General answers, with this case as a real example.

Can you supply an LED video wall with crew in Mexico City?

Yes. An LED wall can be part of the scope in Mexico City and elsewhere in Mexico, delivered with the processing, installation and the technicians who build and run it.

To confirm a configuration we need the venue, the content format, the audience layout and the access times; the size you have in mind is only the starting point. At ITP Aero’s plant in Querétaro, a 7 × 3 m LED wall carried both the program and remote participants.

Also asked as: Where can I rent an LED wall with an operator in Mexico City? · Do you rent LED screens in CDMX?

Do you work with Zoom and Microsoft Teams?

Yes. Zoom and Teams can bring remote speakers into the room, carry the program to remote employees, or both. We connect them as production sources rather than leaving a laptop pointed at the stage.

Meeting settings, host rights and audio routing need testing with the account owner, because two meetings on the same platform can behave differently. ITP Aero’s All Hands ran on Teams; ICON’s Mexico hub connected into DV4’s Zoom studio.

Also asked as: Can you put Teams participants on the big screen? · Can a Zoom speaker present at our live event?

Can you provide staging and rigging?

Yes, as part of an agreed scope, subject to what the venue allows. Staging can range from modular platforms to a stage for screens and lighting; rigging means hanging equipment from approved points.

Load limits, installation method and access have to be confirmed with the venue first: a beam in the ceiling only becomes a hanging point once the venue signs it off. At ITP Aero, a modular platform was used because on-site carpentry was not permitted.

Also asked as: Can you build a stage for our event? · Can you hang screens or lights from the ceiling?

Do you handle set-up and breakdown?

Yes, for everything in our scope. Set-up and breakdown are scheduled around the venue’s access windows, delivery routes and the other suppliers working in the space.

Share loading restrictions and available hours early. Knowing when doors open is not enough to schedule an installation, especially in hotels with back-to-back events or industrial sites with safety procedures.

Also asked as: Do you install and dismantle the equipment? · Who handles load-in and load-out?

Do you support events outside Mexico City?

Yes. ITP Aero’s All Hands at its plant in Querétaro is an example: the production ran under the plant’s aeronautical safety protocols.

Availability, travel time and transport of equipment are confirmed for each location when we review your brief.

Also asked as: Can you provide AV production outside Mexico City? · Do you travel to other states for events?
