Overview

The Milken Institute’s Global Investors Symposium brought international finance and investment leaders to the Four Seasons Hotel Mexico City. The production covered five spaces at once: the plenary hall, two breakout rooms, the foyer and a speaker ready room.

The brief came through a UK-based international event agency working on behalf of Milken Institute, with the Four Seasons as the venue partner.

The challenge

An international agency needed one local team accountable for everything that touched sound, light, screen or signal, across three stakeholders: agency, client and venue.

Each space had its own audio, video and staging needs, but the forum had to read as one continuous, high-level event, for the investors in the room and for the audience following the live stream.

Agreed scope

  • Audio, lighting, video and staging for the plenary hall
  • Two breakout rooms and the foyer equipped and run in parallel
  • Simultaneous interpretation integrated into the main audio
  • Live streaming alongside the on-site production
  • Dedicated power generation, ICT infrastructure and CCTV monitoring
  • Speaker ready room and production office

Technical workflow

One technical plan for five spaces

The plenary, breakouts, foyer and backstage areas were planned and run as one system rather than five separate set-ups.

Layered audio

Main hall, breakout and secondary-area systems mixed on DiGiCo and Allen & Heath consoles, with interpretation integrated into the main system.

LED and image processing

The main stage LED was driven through a Barco E2 processor with Resolume Arena playback.

Program to secondary spaces

Panasonic 4K cameras and an ATEM switcher extended the program to displays in secondary spaces and to the stream.

Self-contained infrastructure

Dedicated generators and an event network gave the production its own backbone, independent of the venue.

Preparation and testing

Preparation focused on coordination between the agency, the client and the venue before load-in.

  • One technical plan shared by the UK agency, Milken Institute and the Four Seasons
  • A speaker ready room for speaker preparation alongside the public spaces
  • A production office for coordination throughout the event

Operational challenges and response

Three stakeholders in three countries.

A single technical point of contact coordinated the agency, the client and the venue throughout.

Five spaces running at the same time.

One technical direction kept systems and crew consistent from the plenary to the breakouts.

Dependence on venue infrastructure.

Dedicated power generation and an event network made critical systems independent of the venue.

Confirmed outcomes

  • The symposium was delivered across the plenary hall, breakout rooms and foyer under one technical direction.
  • Technical operation was sustained across all five areas for the duration of the symposium.
  • The live stream carried the same program to the remote audience.
  • A single, centralized technical operation replaced separate suppliers per space.
  • Coordination held between the UK agency, Milken Institute and the Four Seasons through one technical point of contact.

Outcomes as documented in the published case. We do not add figures the project did not record.

The lesson

One technical plan and one point of contact let an international agency deliver a five-space forum in Mexico City.

Questions this project answers

General answers, with this case as a real example.

Can you support multiple rooms?

Yes. We plan multi-room events as one technical plan, with independent audio, video and staff for each space and, where needed, a shared program between rooms.

For the Milken Institute Global Investors Symposium the scope covered a plenary hall, two breakout rooms, the foyer and a speaker ready room under one technical direction.

Can you run separate audio in several event areas?

Yes. A main hall, breakout rooms, a foyer or an overflow space can each have their own microphones and mix, or receive the main program, depending on what happens there.

We plan it from the floor plan and the timetable of simultaneous sessions, including cabling routes and who operates each area. At the Milken Institute Global Investors Symposium, audio covered the plenary, two breakouts and secondary areas under one plan.

What happens if the venue has limited space, power or rigging capacity?

We design within the limits rather than around them. That can mean a different screen format, ground-supported instead of flown equipment, a smaller footprint, or a generator when the venue’s supply is not enough and the venue allows one.

We confirm power and hanging points with the venue before anything is promised. For the Milken Institute symposium, dedicated generators and an event network kept critical systems independent of the hotel’s supply.

Can you coordinate with the venue’s AV team?

Yes. Many hotels and convention centres have an in-house AV provider, and we coordinate with them on access, power, house systems and responsibilities.

Some venues apply their own policies or charges when an external production company works on site. Those terms are set by the venue, so we check them early and include them in the planning rather than discovering them on load-in day.

We are an international producer with an event in Mexico. Can you be our local team?

Yes. This is one of the main reasons First Impact exists: you bring the production and the creative direction, and we provide the local technical side in Mexico.

That covers equipment, crew, venue coordination, set-up, rehearsals and live operation, aligned with your rider, your signal handovers and your schedule. ICON’s global hybrid event and the Milken Institute symposium, briefed through a UK agency, are examples.
